Add another user’s mailbox archive to your Outlook account

Go to the MinnState ticket portal and request that a copy of a user's mailbox be shared with you. This will require Supervisor and HR approval. Add the approval email or document to the ticket. State the parameters such as how far back to pull information up until the date needed.

MinnState will pull the information and save it as a PST file which they will share with you on SharePoint (OneDrive).

Once the .pst file is downloaded, it can be saved to OneDrive. Create and save to a specific folder on your OneDrive. The transfer could take a while depending on file size and speed of the internet connection. Once the file has completely transferred to your OneDrive, open Outlook and go to "File" menu | "Account Settings" | "Account Settings".

 

A file chooser window will open and choose the "Data Files" tab and select "Add…"

Navigate to the file on your OneDrive, select it and click "OK". In this instance we will choose the file named "archive.pst"

The file will be added to the current list of your data files

Close that window and look at the left side of your Outlook window to see the connected PST file there. The name will show as the name of the connected PST file. In this case, "archive".

When you expand the folder, you will see several different folders to choose from. Select "Top of Information Store" and expand that folder. There you will see the Inbox and other standard folders.

(This does not work in the newest, preview version, of Outlook. Microsoft has not added that functionality. Yet.)
