Pre-migration Checklist

Please take these steps prior to June 18 (Phone) and June 19 (Email). If you do not, you may need to contact the ITS Help Desk for support in migrating the items below. These checklists cover common tasks and some of these may not apply to you. If you do not use any of these features, you do not need to follow the instructions below.

All phone numbers, emails, calendar items, shared mailboxes, and Normandale distribution lists will be migrated to Office 365.

TeamsPlease take the steps prior to June 18

  1. Is Microsoft Teams installed on your computer?
    To find out, click on the Start button on your computer and type Teams
    1. If the icon above shows up, Teams is installed.
    2. If not, Install Microsoft Teams on your computer
       
  2. Please Log in to Microsoft Teams using your StarID@minnstate.edu

Email: Please take these steps prior to June 19 if you have and would like to save any of these items.

Note: You will need to take these steps in the desktop Outlook application. If you do not have access to your office computer, please go to Remote Access (https://access.normandale.edu), click on NCCAPPS, and use the desktop Outlook application there.

  1. Copy your Outlook Signature
    1. Send yourself an email that includes your signature(s)
       
  2. Save your personal Outlook Contacts if you have any. This would be any contacts you have created in Outlook for people outside of Normandale and MinnState. 
     
  3. Save your personal Outlook Distribution Lists if you have any. This would be any distribution lists that you created for yourself. These distribution lists could include people in and outside Normandale and MinnState and can only be used by you. Distribution lists that can be used by everyone in Normandale will be migrated,
     
  4. Export Addresses from the Junk Email Filter Lists (Windows). This would include any allowed or blocked addresses that you set in the Outlook Junk Email Filter.
     
  5. Backup Outlook Rules (Windows). Outlook Rules are actions that you would have set up for your email to automatically perform based on guidelines you set. These rules will either help organize your email (for example, automatically file all email from person X to folder X) or notify you if XYZ happens.

Save your Personal Outlook Distribution Lists

  1. In Outlook, create a new mail message. Move the new message to a different part of your screen(s).
     
  2. Go to your Outlook Contacts 
     
  3. Click on your distribution list and drag it to your new email. Do this for every distribution list.
     
  4. Send the email to yourself.

Export Addresses from the Junk Email Filter Lists (Windows)

The Outlook Junk Email Filter checks the sender of every incoming message against lists of email addresses and Internet domains. Under the Junk Email Options you can define "Safe Sender, Safe Recipients and Blocked Senders". You can export your Outlook Junk Email Filter LIsts as a Text (.TXT) file.

  1. In Outlook, click on the Junk Email Icon.

     
  2. Click on Junk-Email Options.
  3. For each of these tabs Safe Senders, Safe Recipients,  or Blocked Senders, click Export to File.
  4. Select where you want to save the file.
  5. In the File name box, enter a name for the file.
  6. Click Save

Backup Outlook Rules (Windows)

  1. In Outlook, click the File tab.
  2. Click Manage Rules & Alerts
  3. Click Options
  4. Click Export Rules
    Note: all the rules listed here will be backed up, not just the selected rules.
  5. In the File name box, type the path and file name for the set of rules that you want to export (example OutlookRules.rwz)
  6. Click Save
